📊 Use case · SAP Business One queries

What's the best AI tool to write SAP Business One queries?

Short answer

For most SAP Business One users, free ChatGPT with our tested prompt is the best way to write a Query Manager query today: on a real SAP Business One HANA test company, the query it wrote ran first try, unedited, and saved in Query Manager. SAP's own Generate with AI (FP 2608) writes queries inside User-Defined Queries in the Web Client, but it needs FP 2608 plus a pay-as-you-go SAP BTP account with SAP AI Core. Whichever you use: SELECT only, test company first, and never paste company data into ChatGPT.

The ranking

  1. #1

    ChatGPT

    Established pick

Best for: SAP Business One users who want a free, read-only Query Manager query from a plain-English request, on SQL Server or HANA, on the version they run today.

Verdict: Tested hands-on on Oct 16, 2026, with our "net sales by customer" prompt (invoices minus credit memos, excluding tax, with date prompts), free and logged out. We ran it 9 times on a test database full of traps; with the final prompt, totals were right in all 6 runs and 5 were fully correct (one ignored the customer-name rule). On a real SAP Business One HANA test company, ChatGPT's query ran first try, unedited, and saved in Query Manager. The catch: that test company had only one invoice, so the credit memo and cancellation logic was checked on our test database only, and AI can invent field names. Do the field check and one spot-check before you trust the numbers.

Price: Free tier available; paid plans exist. See site for current prices. (checked 2026-10-15)

  2. #2

SAP B1 Generate with AI (FP 2608)

    Established pick

Best for: SAP Business One customers on 10.0 FP 2608 (or upgrading to it) who want AI query-writing built into User-Defined Queries in the Web Client.

Verdict: SAP Business One 10.0 FP 2608 adds a Generate with AI button to User-Defined Queries in the Web Client: you describe the report in plain English and the AI writes the SQL. The catch: it needs FP 2608 plus a pay-as-you-go SAP BTP account with SAP AI Core switched on, so it's a usage-based service, not a free checkbox. We haven't tested it, so this verdict comes from SAP's demo video and SAP partner write-ups.

Price: Needs a pay-as-you-go SAP BTP account with SAP AI Core (usage-based). Third-party estimate: around $0.05 per execution (sapb1community.com). See site. (checked 2026-10-16)

  3. #3

    CData Connect AI

    Established pick

Best for: Teams on a paid ChatGPT plan who want ChatGPT to answer questions on live SAP Business One data, rather than write a query they run themselves.

Verdict: CData Connect AI connects ChatGPT to live SAP Business One data through an MCP server that talks to the B1 Service Layer, and ChatGPT turns your questions into SQL against that data. It needs a paid ChatGPT plan (CData's guide says Plus or Pro) and a CData account. The catch: unlike our prompt, your company data goes through ChatGPT, and CData says it can also take actions on your data, so check your data policy and permissions first. We haven't tested it; this verdict comes from CData's setup guide.

Price: See site (free trial available). Also needs a paid ChatGPT plan. (checked 2026-10-16)

Paste into ChatGPT (free; we tested it without logging in). Keep only the database line that matches your system. Then copy only the SQL block into the Query Generator (Tools → Queries) and run it in a test company first. The full step-by-step and the 30-second field check are in our write-up, linked above.

I use SAP Business One. My database is:
Microsoft SQL Server <- keep ONE of these two lines, delete the other
  SAP HANA

Please write a query I can paste into the SAP Business One Query Generator
and save in Query Manager. I am a beginner, so keep the explanation short
and plain, and make sure every sentence of the explanation matches the SQL.

WHAT I WANT
Net sales by customer between two posting dates, with these columns:
- Customer Code
- Customer Name
- Number of Invoices
- Invoices total (excluding tax)
- Credit Memos total (excluding tax)
- Net Sales (excluding tax) = invoices minus credit memos
Sort by Net Sales, highest first.

RULES
1. SELECT only (read-only). No UPDATE, INSERT, DELETE, temp tables or stored procedures.
2. Use only standard SAP Business One tables and fields. No user-defined fields (U_...) and no custom tables.
3. Sales = A/R Invoices (OINV). Subtract A/R Credit Memos (ORIN). A customer who only has credit memos in the period should still appear (with a negative amount).
4. Leave out cancelled documents. In SAP Business One a cancelled document has CANCELED = 'Y' and the cancellation document created for it has CANCELED = 'C', so keep only CANCELED = 'N' (for both invoices and credit memos).
5. Amounts in my local currency, excluding tax.
6. Use [%0] for the "from" date and [%1] for the "to" date (without quotes around them), so SAP asks me for the dates when I run it. Include both dates.
7. Exactly one row per customer: group by the customer code only, and take the Customer Name from the business partner master data (OCRD), not from the documents. The name saved on an invoice can differ from the current customer name.

AFTER THE QUERY, PLEASE ADD
a) A short table of every table.field you used and what it means.
b) A clear flag next to any field you are not 100% sure exists in standard SAP Business One.
c) One sentence on how I can spot-check the result against SAP Business One.

FAQ

Can SAP Business One write queries with AI by itself?

Yes, from SAP Business One 10.0 FP 2608: User-Defined Queries in the Web Client get a Generate with AI button. It needs FP 2608 plus a pay-as-you-go SAP BTP account with SAP AI Core. A third-party estimate (sapb1community.com) puts the cost at around $0.05 per execution. We haven't tested it.

Is it safe to use ChatGPT for SAP Business One queries?

Yes, if you follow three rules. Run SELECT-only queries: if the answer contains UPDATE, INSERT or DELETE, don't run it. Try it in a test company first. And never paste company data such as customer names, invoices or prices into ChatGPT. Our prompt only describes the report and shares no data.

Does the ChatGPT query work on SQL Server and HANA?

The prompt covers both: keep the database line that matches your system. On a real SAP Business One HANA test company, ChatGPT's query ran first try, unedited, with date prompts, and saved in Query Manager. We've only run the SQL Server version on our test database, not a real system, so spot-check one customer before anyone relies on the numbers.
